Privacy Policy
How we collect, use, and protect your data.
Effective Date: April 8, 2026
NexGen Language Editing, LLC, operating as American English Editing and RevisePilot, is fundamentally committed to protecting the privacy and absolute confidentiality of our users. This Privacy Policy provides a transparent, exhaustive explanation of how we collect, utilize, securely store, and share your personal information and highly proprietary academic research data when you interact with our platforms at www.americanenglishediting.com and www.revisepilot.com and utilize our scientific editing services.
1. Categorization of Information Collected
We purposefully limit our data collection to the specific parameters necessary to provide highly secure, customized editing services. The categories of data collected include:
- Identity and Account Metrics: Full legal name, primary email address, institutional or academic affiliation, and secure account credentials.
- Proprietary User Content: Academic research papers, raw text inputs, historical revision logs, and any supplementary document files explicitly uploaded to the platform for linguistic processing.
- Financial and Payment Information: Billing details required to facilitate commercial transactions. We utilize Stripe, Inc. as our exclusive payment processor. We do not natively collect, route, or store your full credit card number or primary account number. Stripe collects your financial data directly pursuant to its independent privacy protocols.
- Technical Telemetry and Usage Data: IP addresses, browser specifications, session duration activity, and interaction metrics utilizing functional cookies and server logs to ensure platform security, prevent unauthorized access, and optimize the digital user experience.
We emphatically do not intentionally collect or process sensitive personal data, such as biometric identifiers, precise geolocation data, or specific health diagnoses, as defined by relevant privacy legislation including the Oklahoma Computer Data Privacy Act. If a user inadvertently embeds such sensitive data within the text of a submitted academic manuscript, the user explicitly consents to the secure processing of that data solely for the purpose of executing the requested editing service.
2. Purpose Limitation and Information Utilization
We strictly limit the processing and utilization of your data to the following explicitly disclosed business purposes:
- To fulfill our core contractual obligations by providing high-quality, artificial intelligence-augmented language editing and scientific translation services.
- To meticulously maintain and manage your secure user account, enabling you to access your personal archive of historical edited manuscripts.
- To process secure financial payments via Stripe and maintain necessary accounting ledgers required for tax and regulatory compliance.
- To aggressively detect, prevent, and mitigate cybersecurity threats, fraudulent transactions, or systemic abuse of our digital services, including the enforcement of our Terms of Service regarding prohibited conduct (such as account sharing or submission bundling).
We expressly prohibit the utilization of your personal data or your proprietary User Content for the purpose of targeted advertising without your prior, explicit consent. Furthermore, NexGen Language Editing, LLC fundamentally rejects the monetization of user data and does not sell your personal data to any third-party entities.
3. Infrastructure, Data Storage, and Archival Retention Protocols
The physical storage of your data is governed by enterprise-grade security protocols:
Google Cloud Platform Infrastructure
Your User Content, including all original manuscripts, intermediate revisions, and final documents, alongside your account telemetry, is stored on highly secure servers provisioned by Google Cloud Platform. Google Cloud Platform operates under a stringent Cloud Data Processing Addendum, ensuring elite encryption standards both at rest on the server drives and in transit across the network.
Indefinite Retention Linked to Account Lifecycle
To provide you with continuous, uninterrupted access to your intellectual property, historical editing iterations, and payment receipts for academic auditing purposes, we retain your User Content on our Google Cloud servers indefinitely, for as long as your user account remains active.
Data Eradication and Abuse Prevention
Upon your explicit, written request to terminate and delete your user account, all associated User Content, academic manuscripts, and personal identity data will be permanently and irrevocably eradicated from our active storage systems. However, we reserve the right to retain minimal identifying data (such as email addresses or IP addresses) strictly required for legal, tax, or financial accounting compliance, or to prevent individuals previously terminated for Terms of Service violations from re-accessing the platform.
4. Artificial Intelligence Sub-Processors and Zero Data Retention Guarantee
Our scientific editing services achieve their high accuracy by routing text through commercial Application Programming Interfaces provided by leading artificial intelligence developers, specifically Google Vertex AI, OpenAI, and Anthropic. The transmission of your proprietary research to these external processors is governed by extreme enterprise-level privacy controls:
Absolute Prohibition on Model Training
Your academic manuscripts, specific prompts, and personal data are strictly and contractually excluded from being utilized to train, iteratively improve, or fine-tune the foundational artificial intelligence models of Google, OpenAI, or Anthropic.
Zero Data Retention Architecture
We implement specific, commercial-tier Application Programming Interface configurations designed to completely prevent the retention of your data by these third-party artificial intelligence providers. Data transmitted to these specific endpoints is processed ephemerally solely to generate the immediate edited output. The data is not logged, cached, or retained by the artificial intelligence providers beyond the exact moment of the processing lifecycle, effectively neutralizing any risk of your intellectual property leaking into public models.
5. Authorized Third-Party Sharing and Disclosures
We strictly limit the sharing of your data to authorized sub-processors whose functionality is absolutely necessary for the delivery of the service:
Stripe, Inc. Integration
Your billing and payment information is securely shared with Stripe to facilitate immediate transaction billing, aggressive fraud prevention, and strict compliance with global financial regulations, including Anti-Money Laundering mandates. Stripe's processing of your financial data is governed exclusively by the Stripe Privacy Policy. We strongly advise all users to carefully review Stripe's independent data handling practices to understand their rights regarding financial telemetry.
Mandatory Legal Compliance
We may be compelled to disclose your specific data if legally mandated by a valid subpoena, binding court order, or formal regulatory requirement, or if such disclosure is absolutely necessary to protect the legal rights, intellectual property, and physical or digital safety of NexGen Language Editing, LLC, its employees, or its users.
6. Comprehensive Privacy Rights and the Oklahoma Computer Data Privacy Act
In strict compliance with the Oklahoma Computer Data Privacy Act, and extending equivalent rights to all global users of our platform to ensure a universal standard of privacy, we guarantee the following rights regarding your digital footprint:
- The Right to Access: You possess the right to request formal confirmation of whether we process your specific data and to obtain a comprehensive digital copy of such data.
- The Right to Correction: You possess the right to request the immediate rectification of any inaccurate personal data stored within our systems.
- The Right to Deletion: You possess the right to request the total deletion of your user account, which mandates the subsequent destruction of your associated personal data and archived academic manuscripts from our Google Cloud servers.
- The Right to Data Portability: You possess the right to request a complete digital copy of your data in a structured, commonly used, and machine-readable format.
- The Right to Opt-Out: You possess the absolute right to opt out of the processing of your data for targeted advertising campaigns or the sale of personal data.
To formally exercise any of these statutory rights, users may contact our compliance team directly at privacy@americanenglishediting.com or hello@americanenglishediting.com. We are committed to acknowledging and fulfilling all verifiable consumer requests within the stringent timeframes mandated by applicable privacy legislation.
